This Privacy Policy applies to our website and to the mobile apps and other services we provide (together, the “Services”), including the Volt IMS app. The Services are provided by Crystal Blue IT Solutions Limited, a company registered in England and Wales (company number 12211669), whose registered office is 9 Pike Street, Rochdale, England, OL11 1PB (“Crystal Blue”, “we”, “us” or “our”).

While using our Site, we may ask you to provide us with certain personally identifiable information that can be used to contact or identify you. Personally identifiable information may include, but is not limited to your name (“Personal Information”).

Information we collect

We may collect various types of information from and about users of our Services, including:

  1. Personal Information: We may collect personally identifiable information, such as your name, email address, postal address, phone number, and other similar information when you provide it to us voluntarily or when you interact with our Services.

  3. Device Information: We may collect information about the device you are using to access our Services, including the hardware model, operating system and version, unique device identifiers, and mobile network information.

2. Log data

In addition to the information mentioned above, we collect log data when you interact with our Services. This log data includes your computer’s IP address, browser type, browser version, the pages of our Services that you visit, the time and date of your visit, the time spent on those pages, and other statistics. This information is used for analyzing trends, administering the site, tracking users’ movements on the site, and gathering demographic information.

3. Cookies

Cookies are files with small amount of data, which may include an anonymous unique identifier. Cookies are sent to your browser from a web site and stored on your computer’s hard drive.

Our Services use cookies and similar technologies to enhance your experience. Cookies are small files placed on your computer, which allow us to recognize your browser and capture certain information. You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent. However, if you do not accept cookies, you may not be able to use some portions of our Services.

The security of your Personal Information is important to us, but remember that no method of transmission over the Internet, or method of electronic storage, is 100% secure. While we strive to use commercially acceptable means to protect your Personal Information, we cannot guarantee its absolute security.

We employ industry-standard security measures to safeguard your data from unauthorized access, alteration, disclosure, or destruction. Despite these efforts, please be aware that no method of transmission over the internet or electronic storage is 100% secure, and we cannot guarantee absolute security.

Our Site may contain links to external sites that are not operated by us. Please be aware that we have no control over the content and practices of these sites and cannot accept responsibility or liability for their respective privacy policies. 6. Our mobile apps, including Volt IMS

Volt IMS is a business app used by warehouse and site staff to record stock movements. It is provided to you through your employer or another organisation (your “Organisation”), which creates your account. This section describes what the app does; where it differs from the general statements above, this section applies to the app.

What the app collects

  • Account details. Your email address and password to sign you in. Your password is handled by our authentication service and stored in hashed form; we cannot read it. Your name may also be held on your account so that your activity can be attributed to you.
  • Business records you create. The stock transactions you record: items, quantities, sites and locations, purchase orders, requisitions, counts and adjustments, together with the time of each action and the account that made it.
  • Barcodes you scan. When you scan a barcode, the app uses Google’s code scanner, which runs on your device through Google Play Services. The app receives only the text value of the barcode, which it uses to find the matching item or order. The app does not request camera permission, and it does not record, store or send photos or video.
  • Technical data. When the app talks to our servers, our systems record standard log data such as your IP address, the time of the request and the type of request, to keep the service secure and working.
  • Crash and diagnostic data. So that we can find and fix faults, the app sends error reports and a short trail of recent app events (for example, a failed request or a scanner error) to our error-reporting service, Sentry. Each report carries the app version, basic device and operating-system details, a randomly generated identifier for the app installation on your device, and your account ID and email address so that we can tell which user a fault affected. Reports are held on the device until a connection is available.

What the app does not collect. The app does not access your location, contacts, photos, files, microphone or advertising ID. It contains no advertising and no analytics or tracking software for marketing or profiling, and it does not send marketing messages. The only third-party software that receives data from the app is the error-reporting service described above.

Information kept on your device. To keep the app working with a poor connection, it stores your sign-in session, a downloaded copy of your Organisation’s item list, locations and open orders, and a short queue of transactions waiting to be sent on your device. If you turn on quick unlock, the app also keeps a four-digit PIN on your device in scrambled (hashed) form; it is never sent to us, and it is used only to unlock the app on that device. If you choose to unlock with your fingerprint or face, the check is carried out by your phone itself: the app is told only whether it matched, and never receives your fingerprint or face data. Uninstalling the app removes this information.

Whose data it is. The stock and order records belong to your Organisation, which decides what is entered and who has access. We process those records on your Organisation’s behalf to provide the service. If you have a question about what your Organisation does with them, please ask your Organisation.

7. Who we share information with

We do not sell your information. We share it only with:

  • the service providers that host and run the app for us, including our hosting provider, our authentication service, our error-reporting service (Sentry) and the inventory system that stores the records; they act on our instructions and are not allowed to use your information for their own purposes;
  • your Organisation, which can see the records created through your account; and
  • public authorities, advisers or other parties where the law requires it, or where it is needed to protect our rights, our users or the security of the Services.

Information is encrypted in transit between the app and our servers. Some of our providers may process information outside the United Kingdom; where they do, we take steps to make sure it is protected to an appropriate standard.

8. How long we keep information

We keep account details and transaction records for as long as the account is active and for as long afterwards as we need them to provide the service, keep accurate stock and audit records, resolve disputes and meet our legal and accounting obligations. We then delete or anonymise them.

9. Your rights

Under UK data protection law you can ask us for a copy of your personal information, ask us to correct it, ask us to delete it, ask us to restrict or stop using it, and ask for it in a portable format. To use any of these rights, contact us using the details in section 13. Where the records were created for your Organisation, we may need to refer your request to it.

If you are unhappy with how we handle your information you can complain to the Information Commissioner’s Office (ico.org.uk). We would appreciate the chance to put things right first.

10. Deleting your account and data

Accounts in the Volt IMS app are created and removed by your Organisation. To have your account and personal information deleted, ask your Organisation’s administrator or email us at the address in section 13 from the email address on your account, and tell us what you would like deleted. We will respond within one month. We may need to keep some records, for example stock transactions, in a form that no longer identifies you, where we are required to or need them to keep accurate records.

11. Children

Our Services are intended for business use by adults. They are not directed at children, and we do not knowingly collect information from anyone under 16.

12. Changes

This Privacy Policy will remain in effect except with respect to any changes in its provisions in the future, which will be in effect immediately after being posted on this page.

We reserve the right to update or change our Privacy Policy at any time, and you should check this Privacy Policy periodically. Your continued use of the Service after we post any modifications to the Privacy Policy on this page will constitute your acknowledgment of the modifications and your consent to abide and be bound by the modified Privacy Policy.
